How it works
- During the assisted setup, you jointly define which appointments to confirm and how the list will be obtained.
- At the agreed time, the agent calls each customer, introduces itself as an AI and informs them that the call is recorded.
- It reminds them of the date, time, place and any instructions to follow.
- The customer confirms, cancels or asks to reschedule; the agent notes their answer.
- If there is no answer, a further attempt follows the rules set during setup.
- The outcome of each call is transcribed and summarised in the client area.
Industry by industry
- Dental practices
The agent confirms the long treatments scheduled for the next day and reminds patients to bring the signed quote or their top-up health insurance (mutuelle) card if the practice asks for it; it does not comment on the treatment.
- Physios & osteopaths
For a course of sessions, the agent confirms the next one and notes any request to reschedule; a patient who reports that their condition is getting worse is invited to discuss it with the practitioner, with no advice from the agent.
- Car garages
The day before a vehicle drop-off, the agent confirms the time, reminds the customer to bring the locking wheel nut key if you have asked it to, and notes cancellations so that the workshop can reallocate the lift.
- Hair and beauty salons
A balayage or a smoothing treatment takes half a day: the agent calls the client the day before and, if they cancel, gives you time to offer the slot to someone else.
- Medical laboratories
For a home sample collection or a test by appointment, the agent confirms the time and reads out the preparation instructions written by the laboratory, without commenting on them.
- Driving schools
The agent confirms the next day’s driving lessons and, above all, the attendance of candidates for the practical driving test, for whom a lost place is hard to get back.
- Tattoo artists
Before a session lasting several hours, the agent confirms that the client is coming and reminds them of the pre-session instructions you have written.
- Estate agencies
The day before a series of viewings, the agent confirms each buyer to save the negotiator a wasted trip; a cancellation is noted and the slot can be reallocated.
- Notaries
For the signing of a deed that brings several parties together, the agent calls each one to confirm attendance and remind them to bring their ID; if someone cannot attend, this is flagged to the notary’s office in the summary.
- Removals
The day before the move, the agent confirms the address, the crew’s arrival time and the access conditions, such as reserved parking or an available lift.
What to set up
- Choose the types of appointment to confirm and when to call: the day before or the same morning.
- Approve the script: greeting, reminder of instructions, questions asked.
- Set the number of attempts when there is no answer and the acceptable calling hours.
- Specify what to do with a request to reschedule: take a message or transfer.
- Designate who checks the results in the client area to reallocate freed-up slots.
What the agent does not do
These outbound calls are only offered as part of an assisted setup. The agent charges nothing for missed appointments and does not decide for you: it reports confirmations, cancellations and reschedule requests so that you can make the call.
Frequently asked questions
Are these calls included as standard?
No. Outbound calls are set up during an assisted setup, which defines the list of people to call, the script and the calling schedule.
Does the customer know an AI is calling them?
Yes. From its very first words, the agent states that it is an artificial intelligence and that the call is recorded, as the EU AI Act requires.
How many no-shows does it prevent?
We do not publish a figure: the effect depends on your customers and their habits. The summaries in the client area let you track for yourself the confirmations and cancellations obtained.
