The venue manager is out on the dance floor when another couple asks whether their date is still free.

On a Saturday night the hall is full, the manager is standing at the edge of the dance floor and their phone is buzzing in a pocket: yet another couple is looking for a venue for next summer. With no answer, they will move on to the next name on their list. The Alyas agent takes the call: it presents the venue from your documents, notes the date wanted and the number of guests, then offers a viewing.

On the phone, in this line of work

A reception venue is usually chosen after seeing it, not on the first phone call. Couples contact several in a row, often in the evening or at weekends, and keep the ones that answer without delay. The questions are almost always the same: is the date free, how many people does the hall hold, how late can the party go on, can guests stay overnight, is the caterer imposed.

This page is about the venue, not the meal: caterers have their own page. Here the agent does not manage your booking calendar. It notes the date aimed for and a back-up date, and the manager confirms availability when calling back. Only venue viewings are booked straight into the calendar, in the slots you have opened.

What the agent does for you

  • Present the venue the way you describe it in your documents: seated and cocktail capacity, hall and outdoor areas, on-site accommodation, end-of-evening time.

  • Note the date wanted, a fall-back date, the approximate number of guests and the type of event (wedding, birthday, christening, seminar), with the couple’s contact details.

  • Offer a viewing of the venue in a free slot of Google Calendar or Cal.com, outside your event days.

  • Also answer on the website chat, WhatsApp or Messenger, and send you the request by e-mail.

A scenario written to show how it works: it is not the recording of a real call.

  1. The contactSaturday, 10:40 pm: a reception is in full swing in the main hall when a young woman calls about a wedding in June, around 80 guests.
  2. Alyas agentThe agent introduces itself as an AI assistant, recalls the hall’s capacity and the on-site accommodation from your file, then asks for the date wanted and a back-up date.
  3. Alyas agentIt does not say whether the day is free: it notes the request and offers a viewing on a Wednesday at 6 pm, a slot you have opened in your calendar.
  4. On Sunday the manager reads the summary: date, guest numbers, viewing booked. They confirm availability when calling the couple back.

Frequently asked questions

A couple in a hurry asks whether 14 June is free: what does the agent say?

It confirms nothing, since it has no access to your booking calendar. It notes 14 June, a second possible date and the number of guests, offers a viewing and explains that the manager will call back to confirm. You find the request, with the call summary, in your dashboard.

Our estate imposes a list of suppliers: can the agent explain it?

Yes, from the document in which you set out your rules: free or imposed caterer, partner suppliers, music, decoration, hours. It commits to neither a menu nor a price: a question about the meal is noted so that you can point the couple to the caterer.

We also receive enquiries on WhatsApp or Messenger: are they handled the same way?

The chat uses the same information as the phone, collects the date, the guest numbers and a way to contact the couple, then sends you the request by e-mail. If the couple wants to talk to someone, you take over the conversation from your dashboard.

We run two venues with two managers: is one agent enough?

It can present both venues if you give it their information, and asks which one is concerned. It has only one transfer number, though: if each manager needs to be reached directly, create one agent per venue.

Will engaged couples realise they are speaking to an AI?

From the very first sentence of the call, the agent says it is an AI assistant. Couples who prefer the manager ask for them, and the call is transferred to the configured number. See also our guide to what the GDPR and the AI Act require.
