How it works
- Outside your opening hours, calls are forwarded to the agent.
- The agent states that it is an AI, that the call is recorded and that the business is closed.
- It gives the date and time of reopening and answers practical questions.
- It books a future slot in the connected calendar or takes the caller’s details.
- A problem that cannot wait is transferred to the on-call number, if there is one.
- When work resumes, the team reads the summaries of calls received during the closure in the client area.
Industry by industry
- Hotels and holiday rentals
A reception closed at night does not mean a silent phone: the agent explains the late check-in procedure you have described and notes booking requests for the next day.
- Campsites
Off season, with reception closed, the agent gives the opening date and records requests for pitches or mobile homes for the summer, with dates and number of people.
- Estate agencies
Buyers call after their working day: the agent answers questions about a listing’s published features, such as floor area, floor level or service charges, and takes contact details to arrange a viewing.
- Lawyers
In the evening, the agent collects the caller’s identity, the nature of the matter and any hearing date or deadline to meet, without giving any legal opinion; an ongoing police custody (garde à vue) is transferred if the firm runs an on-call service.
- Roofers
During the summer holidays, the agent gives the date work resumes and logs quote requests; a roof damaged by a storm can be transferred to a partner roofer if you have arranged it.
- Town halls
At weekends, the agent gives the town hall’s opening hours and, for a problem on the public highway, transfers to the technical services on-call line or the duty councillor you have designated.
- Travel agencies
A customer abroad who calls on a Sunday about a cancelled flight is transferred to the assistance line you have specified; a holiday plan for next year waits for the consultant on Monday.
- Removals
On Saturdays, the agent takes quote requests with the desired date and the addresses, and answers questions about boxes or furniture storage from your documents.
- Vets
When the clinic is closed, the agent gives the contact details of the out-of-hours veterinary service you have specified and logs appointment requests for when it reopens.
- Accountants
During the firm’s summer closure, the agent takes clients’ messages, noting any tax filing deadlines they mention, so that the staff member concerned can deal with them first on their return.
What to set up
- Enter your opening hours, which public holidays you work or not, and your annual closure dates.
- Write the closure message: reopening date, any alternative, callback time.
- If there is one, specify the on-call service or the colleague on duty to transfer to.
- Open future slots in the connected calendar for bookings taken overnight.
- Designate the person who goes through the summaries when work resumes.
What the agent does not do
The agent does not create an on-call service where you have none: with no transfer number configured, it logs the request and nothing more. It announces no exceptional opening or hours you have not given it.
Frequently asked questions
Does the agent know we close in August?
Only if you give it the dates. Once they are entered, it tells callers and adapts its answers.
Can it book appointments at night?
Yes, in future slots opened in a connected Google Calendar or Cal.com, or in PlayPro for a leisure activity.
Will a customer who calls late be called back?
Their request and contact details are summarised in the client area so that your team can call them back. A callback by outbound call can also be set up during an assisted setup.
