Complete messages: who is calling, what about, when to call back.

A thirty-second voicemail with no clear name or number means listening again, guessing, then calling back blind. The agent steers the conversation to get the useful details and leaves a summary in the client area that can be read in seconds.

How it works

  1. The agent states that it is an AI and that the call is recorded, then asks what the call is about.
  2. It collects the name, the company where relevant, and checks the callback number by repeating it.
  3. It asks for specifics: file reference, address, product or contract concerned.
  4. It asks who the message is for and when to call back.
  5. It reads the message back to the caller for confirmation before hanging up.
  6. The structured summary and the full transcript are available in the client area.

Industry by industry

  • Lawyers

The message states whether the caller is already a client, the name of the lawyer handling the case, the court and any hearing date mentioned, so that the right partner calls back first; the agent never comments on the merits.

  • Bailiffs (commissaires de justice)

The agent notes the reference of the document served, the caller’s capacity (creditor, debtor, tenant) and the purpose of the call, whether a challenge or a question about an official report; the clerk calls back with the file in hand.

  • Accountants

Each message gives the client’s company name, the staff member in charge and the subject, for example a payslip, a VAT return or the annual accounts, so nobody has to guess who to pass it to.

  • Block management agents

The message gives the caller’s building, block, floor and unit, and whether they are an owner or a tenant: the property manager immediately identifies the file concerned.

  • Insurance

For a claim reported by phone, the agent notes the policy number if known, the date and nature of the event, and the caller’s availability for a callback; it gives no view on whether the claim will be covered.

  • Funeral directors

For a question about a funeral already arranged, a death notice or headstone work, the agent soberly notes the name of the deceased, the date of the ceremony and the caller’s relationship to the family.

  • Self-employed nurses

Messages from patients and families give the address, the care involved and the usual visit slot; for a new patient, the agent notes whether they have a prescription. It gives no opinion on anyone’s state of health.

  • Electricians

For a job in progress, the message links the call to the client’s name and the site address; for a new contact, it specifies the type of building and the problem observed.

  • Landscapers

The message gives the town, the service wanted (hedge trimming, tree pruning, regular mowing) and access to the grounds, so that the callback can already focus on scheduling.

  • Brokers

When a client chases up a loan application in progress, the agent notes their name, the bank concerned and the stage they mention, so that the broker calls back with the file open.

What to set up

  • Define the mandatory fields of the message for your business: reference, address, unit, policy number.
  • List the possible recipients: partners, staff members, departments.
  • Specify the cases where the agent transfers the call instead of taking a message.
  • State the callback time the agent may announce.
  • Organise within the team who reads the summaries in the client area.

What the agent does not do

The agent takes the message but makes no commitments on the team’s behalf: no promise of results, no answer on the substance of a file, no access to your internal software. Nor does it guarantee the accuracy of the information the caller gives it.

Frequently asked questions

Where do the messages go?

To the client area, as a structured summary accompanied by the full transcript of the call.

Does the agent check the caller’s number?

It repeats it aloud for confirmation before ending the call. This reduces input errors but does not amount to identity verification.

Can the questions be adapted to the reason for the call?

Yes, your instructions can set different questions depending on the recipient or the reason, for example a claim on one side and a quote request on the other.
