The clubhouse is shut and the volunteers are at work, yet the member who rings still gets an answer.
In an association, the phone is often the chair’s or the secretary’s own, answered between two professional commitments. The Alyas agent takes calls from members, parents and prospective volunteers using the information you have given it: drop-in days, where activities take place, documents to attach to an enrolment, the date of the general meeting.
On the phone, in this line of work
An association’s year runs in peaks: the weeks after the autumn fair, the eve of a show or a tournament, the return from the holidays. On those days the same questions arrive in a burst (which day, which hall, what fee) and the most available volunteer ends up calling back in the evening.
The agent does not replace the committee: it keeps the line open between two drop-in sessions. Each request is logged with the name, a callback number and the section concerned, so the activity leader can pick it up without asking the member everything again.
What the agent does for you
State the days and place of drop-in sessions, the times of each activity and the season’s calendar from your documents.
Explain how to join or renew a membership: the documents required and the arrangements communicated by the committee.
Note an offer from a prospective volunteer, a partner or a local councillor, with their contact details, for the relevant lead to call back.
Offer an appointment with a section leader in Google Calendar or Cal.com, once those tools are connected.
An example workflow
Illustrative example
A scenario written to show how it works: it is not the recording of a real call.
- The contactOn a September Tuesday at 7:05 pm, a mother calls to enrol her nine-year-old daughter in the gymnastics section, whose fair took place the weekend before.
- After the AI and recording announcement, the agent gives the training day, the hall and the list of documents the association asks for.
- The family would like a trial session before committing: the agent notes the child’s first name and a callback number, specifying the section.
- On Wednesday, the section’s coach finds the call summary in the client dashboard and rings the family back.

Frequently asked questions
Our members are of all ages: will they know they are talking to an AI?
Yes: every call starts with the AI and recording announcement. A member who would rather speak to a volunteer asks, and the call is transferred to the committee member’s number that you have configured. See also our guide to what the GDPR and the AI Act require.
Can membership fees be paid over the phone?
No. The agent takes no payment. It says how to pay according to what the committee has decided (online, at the clubhouse, by cheque) and notes the request so that the treasurer can follow up.
Our association has several sections, each with its own leader: how does that work?
The agent can present each section from the information you give it and asks which activity is concerned. It has only one transfer number, however; the simplest is to set the committee’s number there, and the section is stated in the call summary.
Our number has been on the posters for years: do we need to change it?
No. You set up call forwarding with your operator to the Alyas line, perhaps only when no one answers, and the number on display stays the same.
No call or message left unanswered.
Channel, integrations, volume: you get a clear proposal before you commit.
