Qualifying leads by phone: the questions to ask and how to hand them over

Qualifying a lead by phone means checking, in a few minutes, that the request matches what you sell and gauging how ready the prospect is, so that sales calls back the right contacts first. Four questions are enough in most cases: what is the need, by when, with what budget, and who decides. The result should fit on a short sheet passed to the salesperson.

Qualifying a lead: what it means

A lead is a person or business that has shown interest: a call, a form, a quote request. Qualifying it means answering two questions: does this request fit your offer and your area? And if so, is it urgent, still being considered or a long way off?

An inbound call has an advantage for qualification: the person is on the line and has a reason for calling. You still need to ask the right questions every time, whoever picks up.

The four essential questions

The need: “What can I help you with?”, followed by a clarifying question specific to your trade (floor area, number of people, type of job). The timing: “When would you need this by?” A date or a period immediately places the priority.

The budget: “Do you have a budget in mind, even a rough one?” Asked without pushing, it avoids quotes that miss the mark; if the caller doesn’t know, giving an indicative range lets you check it suits them. The decision-maker: “Are you the person who will decide, or will others be involved?”

These four criteria overlap with the method known as BANT (budget, authority, need, timing), but there’s no need to make a ritual of it: what matters is covering them, in whatever order sounds most natural. Add a scoping question if your business requires it, such as the town for a tradesperson.

Running the conversation without turning it into an interrogation

Start by letting the caller explain their request without interrupting; they often answer two or three questions before you have to ask them. Then rephrase what you’ve understood and ask only the remaining questions.

Keep the budget for the end, once the need is clear. And always finish with the next step: who calls back, when, and how. A qualified lead with no agreed next step is a lead going cold.

Handing over to sales

Qualification is useless if it stays in the head of whoever picked up. Use the same sheet for every call: name, number, email, need summarised in one sentence, timing, budget, decision-maker, agreed next step, and a priority level (hot, warm, cold) defined by written rules.

Also set a response time for each priority level, and a single place where the sheets land: CRM, shared inbox or spreadsheet. If leads arrive through three different channels, some are likely to be forgotten.

Prospect data

Collect only what is needed to handle the request: qualification is not an opportunity to fill a database. In its Q&A on the reference framework for managing commercial activities, the CNIL, France’s data protection authority, states that prospect data used for prospecting may be kept for three years from collection or from the prospect’s last contact.

At the end of that period, the organisation may contact the prospect again; without a positive and explicit reply from them, the data should be deleted or archived for a period that complies with the rules in force.

Frequently asked questions

Do you have to ask about the budget?

It isn’t compulsory, but it’s often useful to avoid a quote that misses the mark. Ask without pressure, once you’ve understood the need; if the caller doesn’t know, suggest an indicative range and watch how they react.

How long should a qualification call last?

There’s no universal ideal length: the call lasts as long as it takes to cover the need, timing, budget, decision-maker and next step. If the conversation drags on, it’s often a sign that it’s time to move to a meeting or a quote.

Can an AI agent qualify inbound calls?

Yes: an AI agent can collect the same information on every call, including out of hours. Alyas, for example, answers, says it is an AI and that the call is recorded, answers from the information you provide, collects the caller’s contact details, can book an appointment via Google Calendar or Cal.com, transfers to the number you have configured and sends you a transcript and summary. 10-day free trial.
