Why connect Google Calendar to your agent
Many professionals keep their schedule in Google Calendar. Copying an appointment agreed in writing by hand risks a wrong time, or two customers in the same slot.
Once Google Calendar is connected, the agent works on your calendar itself: it only offers periods where nothing is scheduled, and the event it creates carries the customer’s name, phone number and any note.
What the agent does with Google Calendar
- A customer asks for an appointment in your website chat, on WhatsApp or on Messenger. The agent asks which day they would like; unless told otherwise, it assumes a duration of 30 minutes.
- It queries Google Calendar for that day, between 9 am and 7 pm in your time zone. Google returns only the busy periods of your primary calendar: neither the title nor the content of your events is passed on.
- It splits the day into slots of the required length, discards those that overlap an event or have already passed, and offers the rest to the customer.
- The customer chooses. The agent takes their first and last name, plus a phone number when the conversation takes place on the website, then checks one last time that the slot is still free.
- The event is added to your primary calendar under the title “Résa” followed by the customer’s name; the description contains their phone number and the note. If the customer left an email address, it is listed among the guests.
What you need to connect Google Calendar
- Your own Google account, connected from the Bookings section of the Alyas workspace with the “Connect my Google account” button.
- A chat agent with appointment booking turned on. Restaurant and PlayPro agents do not have access to it in the chat.
- The booking time zone, taken automatically from your Google Calendar and adjustable in the settings.
- A primary calendar kept up to date: it is the only one the agent checks, and the one it writes to.
Limits to be aware of
- The search covers 9 am-7 pm whatever day is requested, and ignores your closing days. Block them with an event in your calendar so that they show as busy.
- A secondary or shared calendar is not included in the availability calculation: only the primary calendar of the connected account counts.
- The agent adds new appointments; it does not edit or delete an existing event.
- A chat conversation cannot create more than two appointments.
- Alyas does not send the customer a reminder text message.
Frequently asked questions
Can the agent see the details of my personal appointments?
No. To find a slot, Alyas asks Google only for the busy periods of your primary calendar. The title, location and attendees of your events are not read.
Can I use a calendar other than the primary one?
Not today. The agent checks the primary calendar of the connected Google account, and that is where it adds the appointments.
How do I stop it offering a slot on a closing day?
Add an event to your primary calendar that covers the whole day, or the lunch break. The period becomes busy and the agent no longer offers it.
What title does the appointment it creates have?
“Résa” followed by the customer’s name. The description gives their phone number, or “non communiqué” (not provided), and any note; their email address, if they gave one, is added as a guest.
Can a customer change the time of their appointment by writing to the agent?
No. The agent creates appointments but does not go back on existing ones: the customer contacts you, and you adjust the event in Google Calendar.
Is the connection also used for phone calls?
Yes: the voice agent relies on the same connected calendar to check availability and book during the call.
