Why connect Acuity Scheduling to your agent
With Acuity, your customers usually book on a separate page. A visitor who writes to you on your site prefers to be offered a time in the conversation, without opening another tab.
Connected to Acuity, the agent reads the same calendar as that page: a time already taken, or closed on your side, is not shown to it.
What the agent does with Acuity Scheduling
- The customer asks the chat for an appointment and picks a day.
- The agent asks Acuity for the times of the appointment type for that day, expressed in your time zone.
- It shows the times returned, with the length agreed in the conversation.
- The customer chooses; the agent notes their name and e-mail, then checks once more that the time is free.
- It creates the appointment in Acuity, which sends its usual messages; the booking is announced as confirmed, with its reference.
What you need to connect Acuity Scheduling
- Your Acuity user ID, a number shown on the API access page.
- Your API key, in the same place.
- The number of the appointment type to book: Alyas checks that it exists in your account before saving.
- A chat agent set to Acuity (“Use for this agent”).
Limits to be aware of
- Acuity needs the customer’s e-mail: the agent asks for it before booking.
- One appointment type per connection.
- Acuity’s custom intake forms are not filled in by the agent.
- The agent does not act on a booking already recorded.
Frequently asked questions
What does Acuity ask for to connect?
The user ID, the API key and the appointment type number. All three are required, and the key is checked with Acuity.
Does the agent know my closing days?
It follows what Acuity returns: a day with no free time gives an empty list, and the agent offers another day.
How is the customer notified?
By the messages you set in Acuity: Alyas does not send any others in their place.
Can I cut the connection?
Yes, at any time, from Settings, Connections or the agent page. The saved key is then deleted.
Is the customer’s full name passed on?
The agent splits the name at the first space: the first word becomes the first name and the rest the surname.
