Why screen rather than take every call or ignore them all
Answering every time the phone rings breaks up the day: a quote interrupted three times takes longer than one written in a single sitting. Conversely, letting the phone ring without any sorting means risking missing the call that mattered, from a new client ready to sign or a partner with a deadline.
Screening sits between the two. It is not about avoiding people, but about handling each call at the right time and by the right person. It should not be confused with managing on-call duty or technical emergencies, which follow other rules: the subject here is the daily sorting of all incoming calls.
Define your call categories
Start by observing. For two weeks, note for each call who was calling, why, and what needed to be done. Categories quickly emerge: new prospects, current clients, suppliers, partners and public authorities, sales calls, personal calls, repetitive practical questions.
For each category, set a course of action. For example: a prospect asking for a quote deserves a call back the same day; a client with a blocking problem on an ongoing job may justify an immediate transfer; a question about opening hours gets a direct answer; an unsolicited sales pitch leads to a message being taken, with no commitment to call back.
Simple, verifiable criteria
A filter works if it relies on criteria that the person or tool answering can check in a few seconds: the caller’s identity, the reason for the call, whether there is an ongoing relationship, any deadline mentioned. Avoid vague criteria such as “if it’s important”: not everyone has the same idea of what is important.
Also draw up a short list of people to be put through in all circumstances: a business partner, a key client, the children’s school. This list must stay short, otherwise the filter loses its point.
Wording that offends no one
Screening is also a matter of words. A caller accepts being called back if they know when and by whom: “He’s in a meeting until 16:00, I’ll pass on your request and he’ll call you back at the end of the day” goes down better than a bare “he’s not available”. With a prospect, remember to ask for the exact reason for the call and the best time to call back.
When it comes to cold calls, stay courteous and factual. In France, the CNIL, the national data protection authority, points out that telephone prospecting aimed at professionals can be based on the legitimate interest of the company making the call when the offer relates to the profession of the person contacted, but that this person must be able to object simply and free of charge. You can therefore ask not to be called again. For consumers, the rule in France is stricter: since 11 August 2026, telephone sales prospecting has required their prior consent, with some exceptions.
The tools: voicemail, secretary, AI agent
Voicemail is the simplest filter, but it sorts poorly: it records everything, and it is up to you to listen back to the messages and decide. Some callers hang up without leaving a message, and you do not know what you have missed. Your operator’s features, such as conditional call forwarding or time-based rules, allow an initial sort by time of day, not by reason for calling.
A secretary, whether employed or freelance, applies an intelligent filter and adapts what they say, within their working hours. An AI voice agent can apply written rules at any hour: answering the questions it has been prepared for, noting contact details and the reason for the call, transferring certain calls. It needs precise instructions and a regular review of what it has done. These tools can be combined, for example with an AI agent covering the hours when the secretary is not there.
First-line sorting at any hour
Alyas answers the phone 24 hours a day using the information you provide, collects each caller’s name, number and reason for calling, and can transfer the call to a single number. Every call is transcribed and summarised in your client area, so you can call people back in order of priority. The ten-day free trial lets you try it on your real calls.
Frequently asked questions
How can you screen calls without losing clients?
By defining call categories and a course of action for each, systematically taking contact details and the reason for the call, and announcing a call-back time that you stick to.
Can you refuse sales calls on your business line?
Yes. In France, according to the CNIL, prospecting aimed at professionals can rely on legitimate interest if it relates to their business, but the person contacted must be able to object simply and free of charge.
Is voicemail enough to screen calls?
It stops you being interrupted, but it does not sort anything: everything lands in the same mailbox and some callers hang up without leaving a message. A person or a voice agent applying written rules sorts calls as they come in.
